TechSpira (referred to below as “we,” “us,” or “our”) handles information obtained through our website and inquiry process in accordance with this Privacy Policy.

2. Information We May Collect

We may collect the following information:

  • where Statistics consent has been provided through the website’s consent controls, the original landing-page URL, referring URL, and UTM campaign parameters;
  • access logs, IP address, browser information, and other technical information reasonably required to operate, secure, and troubleshoot the website; and
  • if analytics is introduced in the future, website usage information processed by the relevant analytics service.

3. Purposes of Use

We use collected information to:

  • respond to inquiries and communicate about the subject raised;
  • provide relevant information and maintain an appropriate inquiry history;
  • verify requests, prevent abuse, and protect website and service security;
  • operate, maintain, improve, and troubleshoot the website, forms, and related processes;
  • where Statistics consent has been provided through the website’s consent controls, understand acquisition channels and website use to improve our information and website operation; and
  • comply with applicable legal, contractual, or other obligations.

4. Contact Forms

We use WPForms to provide our contact forms. Information submitted through a form is sent to an email address designated by TechSpira and is used to respond to and maintain a record of the inquiry.

Required and optional fields are identified on the relevant form. An inquiry may be submitted without completing optional fields.

5. Inquiry Management Using Google Workspace and Google Sheets

We may store inquiry information and its handling status in a private Google Sheet within Google Workspace so that inquiries can be managed consistently.

The stored information may include form data, submission time, language, form identifier, form-page URL, and, where Statistics consent has been provided through the website’s consent controls, acquisition information. The Sheet is not made public and is restricted to persons who require access for their work.

6. Service Providers and Cloud Services

We may use WordPress, WPForms, hosting services, Google Workspace, and other cloud services for website operation, email delivery, inquiry management, storage, and security.

Information may be processed in another country where a service provider uses facilities outside Japan. We select services appropriate to the relevant purpose and seek to apply reasonable access and security controls.

7. Website Analytics

We may introduce an analytics service such as Google Analytics 4 in the future to understand and improve use of the website.

Before doing so, we will provide information about the service, the information it processes, its use of cookies or similar technologies, consent controls, and any available opt-out method through this Policy or another appropriate website notice. This section does not mean that a service not currently enabled is already collecting information.

8. Cookies and Browser Storage

The website may use cookies or browser storage for necessary functionality, security, and consent-preference management.

If acquisition information is retained during a browsing session, our baseline approach is to store only the minimum URL and UTM information in sessionStorage. We will not create a visitor identifier, use fingerprinting, or store names, contact details, or inquiry content in that storage. The information is removed when the applicable browser session ends. Where consent is required because of the applicable region or purpose, this processing will not begin before consent is obtained.

Browser settings and, where available, the website’s consent controls may be used to restrict cookies or similar technologies. Some website functions may not operate correctly when they are restricted.

9. Disclosure to Third Parties

We do not disclose personal information to a third party except:

  • with the individual’s consent;
  • where required or permitted by law;
  • where necessary to protect life, physical safety, or property and obtaining consent is difficult;
  • in connection with a lawful transfer or succession of the relevant business.

We may entrust service providers or cloud service providers with processing information to the extent necessary for the purposes described in this Policy. Such processing is limited to those purposes.

10. Security

We apply necessary safeguards to manage collected information appropriately, including access restrictions, management of authentication information, and appropriate configuration of the services we use.

11. Retention

As a general rule, inquiry information is retained for three years from receipt of the inquiry or the last substantive communication, whichever is later. We then review whether it should be deleted or anonymized.

Where a different period is required or reasonably necessary for legal, contractual, accounting, dispute-resolution, or similar purposes, that period or necessity takes priority.

12. Access, Correction, Suspension, and Deletion

Requests for access to, correction of, suspension of use of, deletion of, or other action concerning information we hold may be sent to info@techspira.jp. After confirming the identity or proper authority of the requester, we will respond according to applicable law and the information we hold.
